Privacy Policy

This Privacy Policy explains what we collect when you use Earmark (the "Service"), how we use it, who processes it on our behalf, and the choices you have. By using the Service you agree to this Policy.

Your library is segregated by account

Earmark is a multi-user product with per-account data segregation. The podcasts and links you ingest, and everything we derive from them — knowledge cards, transcripts, snips, your concept landscape and synthesis, person rollups, distilled narratives, and saved core memories — are private to your account by default and are not visible to other users or to the demo account. Access is scoped to the owning account at the data-access layer on every read.

If you choose to publisha submission, it appears in the public community feed and becomes visible to other users; the community feed does not display the identity or email of the member who shared it. You can make a published submission private again at any time, though we cannot recall copies others may already have made. A shared reference layer (the directory of people, funds, and concepts, and the watch list) is common to the workspace and is not treated as any single user's private data. No system is perfectly secure, and we cannot guarantee that private content will never be exposed — particularly during the beta.

1. Information we collect

• Account information — your email address, optional name, and authentication data such as passkey credentials and magic-link tokens.
• Content you submit — the links and references you add and the transcripts, summaries, notes, snips, and memories the Service generates from them.
• Billing information — if you subscribe, your payment is handled by Stripe; we receive subscription status and identifiers, not your full card number.
• Usage & technical data — basic logs, device/browser information, and product analytics used to operate, secure, and improve the Service.

2. How we use information

• to provide, maintain, secure, and improve the Service;
• to transcribe, summarize, attribute, and synthesize the content you submit;
• to authenticate you, manage access, and process subscriptions;
• to communicate with you about access, invites, and important Service notices; and
• to comply with legal obligations and enforce our Terms.

We do not sell your personal information, and we do not use the private content of your library to advertise to you.

3. AI & automated processing

To produce knowledge cards and synthesis, the content you submit is processed by third-party AI and transcription providers (for example, Anthropic, OpenAI, and Groq). Content is sent to these providers only to generate output for you. We do not control, and are not responsible for, those providers' independent practices; their use of data is governed by their own terms and policies.

4. Service providers we rely on

We share data with vendors strictly to operate the Service, including:

• Supabase — database, storage, and authentication;
• Vercel — hosting, delivery, and analytics;
• Stripe — subscription billing and payment processing;
• Resend — transactional email (such as magic links);
• Anthropic, OpenAI, Groq — AI transcription, extraction, and synthesis.

We may also disclose information if required by law, to protect our rights, or in connection with a business transfer.

5. Cookies & sessions

We use a small number of essential cookies and similar technologies to keep you signed in (a session cookie), remember preferences such as light or dark theme, and measure aggregate product usage. Disabling essential cookies may break sign-in.

6. Data retention & deletion

We retain your information for as long as your account is active or as needed to provide the Service and meet legal obligations. You may request deletion of your account and associated content by contacting us; some records may be retained where required by law or for legitimate business purposes (for example, billing records).

7. Security

We use reasonable technical and organizational measures — including passwordless authentication and access controls — to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security, especially during the beta.

8. Your choices & rights

• access, correct, or delete your account information;
• export your library content from within the Service;
• cancel a subscription at any time; and
• contact us to exercise privacy rights that may be available to you under applicable law.

9. Children

The Service is not directed to, and may not be used by, anyone under 18. We do not knowingly collect personal information from children.
